Job Description:West Island School is looking for a Central Procurement Coordinator on a full-time basis. This is a permanent full-time position starting in June 2024 with Annual Leave and Medical Coverage benefits.ResponsibilitiesGeneral & Procurement:
  • Support operational needs of the school and oversee procurement requests
  • Research, review and analyse vendors, suppliers & price options
  • Work closely with the Finance department to ensure compliance with internal and ESF purchase procedures
  • Work with the ESF FDD staff in providing tender support
  • Support and assist with general office administration & duties
Shop, Buses & Uniform Support:
  • Oversee and manage the WIS shop daily for student purchases
  • Manage the supply of stationery, liaise with Faculties and the supplier to ensure products meet the needs of the school
  • Act as the school liaison for all bus-related enquiries and bookings (ad hoc, Horizons Week, other activities)
  • Collaborate with school bus service provider on matters relating to bus routes, service standards, staffing, and student issues
  • Conduct regular checks on the bus and driver's licenses, bus insurance coverage, general safety, etc., and maintain a proper register for all checks.
  • Handle enquiries and complaints from parents, and students in a timely and efficient manner and keep a proper registry for all checks
  • Oversee annual new academic year processes for new students and parents
  • Liaise with the ESF centre and uniform supplier to ensure the supply of uniform items is uninterrupted and provide on-site support to parents and students.
  • In the absence of PTA staff, assist with second-hand and clearance uniform items, team sportswear distribution, and second-hand textbooks
  • Ensure that all services are being delivered according to the agreed service standard and quality
  • Handle any other duties assigned by the Line Manager(s)
Perform other duties and assume accountabilities as apparent or as delegated including mutually agreed-upon objectivesReporting To: Business ManagerRequirementsExperience:
  • 2 years minimum in an administrative role with relevant qualifications
  • Previous experience of working with students in an educational setting would be an advantage
Abilities & Knowledge:
  • Excellent command of written and spoken communication in English and Cantonese.
  • Excellent computer skills with proficiency in Google Suite and MS Office - Word, Excel, Powerpoint, Gmail)
  • Strong interpersonal, communication, and organizational skills
  • Ability to be flexible and work with problem-solving initiatives.
  • Ability to work autonomously and meet deadlines.

  • Capable to manage time effectively under pressure
