The assignment will run for 9 months and will be 100% office based.Key Duties
  • Maintain office procedures. Review processes and support development of systems for effective administration of the section. Maintain records, co-ordinate the use of facilities and equipment, check and oversee repairs and report any health and safety issues.
  • Support of the online Facilities Management helpdesk.
  • Ensure the Senior Facilities Management Administrator is fully informed of the daily schedule.
  • Monitor resources and expenditure against budgets, process invoices and orders following financial regulations, liaise with accounts to ensure that department accounts are up to date, ensure efficiency and effectiveness of processes and procedures, develop and review processes as required.
  • Undertaking clerical support for other members of the department.
  • Support a wide range of HR related issues and processes such as holiday and sickness records, support staff review and development, support selection and interviewing activity as part of an inclusive recruitment process and have an understanding of company policy and employment legislation.
  • Co-ordinate administrative support, maintain diaries of senior staff and team, keeping relevant staff informed of day-to-day issues.
  • Prepare paperwork and other information for payroll for event overtime.
  • Liaise with other internal staff and external customers, acting as a point of contact for queries/enquiries to Facilities Management, explain procedures to students, staff and visitors for central room-booking systems, car parking and other related issues.
  • Gather and manipulate data on various aspects of the department as required, collate and analyse data and report as necessary.

  • Demonstrable experience of office administration
  • Previous experience within facilities would be advantageous
  • Excellent communication and interpersonal skills
  • Strong organisational skills

  • Confident user of MS Office
  • Ability to use own initiative
  • Ability to work as part of a team
