If speculative CVs are sent, no fee will be applicable - please direct all queries to the relevant Resourcing Partner.PA to the Managing Director - Asset IntelligenceWarringtonWhat you will be doing:An opportunity has arisen for a Personal Assistant to the Managing Director to join the team at Galliford Try within our Asset Intelligence Business.Ideally, you will based in or around the Warrington area.As a Personal Assistant, you will be responsible for providing comprehensive and proactive support to the Managing Director, ensuring effective and efficient management of their day-to-day activities, communication, and operations. The successful candidate will be entrusted with handling sensitive and confidential information, as well as coordinating with other departments and external stakeholders.
  • Coordinate and manage the MD's calendar, ensuring efficient scheduling and prioritization of meetings, appointments, and events.
  • Arrange and confirm appointments, travel, accommodation, and logistics as required.
  • Ensure the MD is fully prepared for meetings and events by providing relevant documents, briefing materials, and background information.
  • Screen and manage emails and postal correspondence on behalf of the MD, ensuring timely responses and appropriate prioritisation.
  • Draft, edit, and proofread correspondence, reports, and presentations as required.
  • Liaise with internal and external stakeholders on behalf of the MD, ensuring clear and effective communication.
  • Organise and coordinate internal and external meetings, including the preparation of agendas, invitations, and supporting documents.
  • Attend meetings as required, taking accurate minutes and ensuring timely distribution of the same.
  • Follow up on action points arising from meetings, ensuring timely completion and reporting back to the MD.
  • Maintain accurate and up-to-date filing systems, both electronic and paper-based (where applicable), for the MD's office.
  • Assist in the preparation of reports, presentations, and other documents as required.
  • Coordinate and manage the MD's expenses, ensuring timely submission and processing of expense claims.
  • Assist the MD in coordinating and managing special projects, events, and initiatives as required.
  • Liaise with other departments and external stakeholders to ensure smooth execution and successful outcomes.
  • Handle sensitive and confidential information with the utmost discretion, ensuring that all data and communications are securely managed.
  • Maintain the highest level of professional conduct and integrity when dealing with internal and external stakeholders.
  • Perform ad hoc tasks and provide additional support to the MD as required, ensuring that their needs are met and that they can focus on their core responsibilities.
  • Act as a point of contact between the MD and other staff members, fostering positive relationships and effective communication.
About You:
  • Proven experience as a Personal Assistant or Executive Assistant, preferably supporting senior-level executives.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively and work under pressure.
  • Excellent communication skills, both written and verbal, with a high level of attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other office management tools.
  • High level of discretion and confidentiality, with the ability to handle sensitive information appropriately.
  • Strong interpersonal skills, with the ability to build relationships and liaise with internal and external stakeholders.
  • Proactive and adaptable, with a willingness to learn and take on new responsibilities as required.
  • A bachelor's degree in a relevant field is preferred but not required.
