- Administer the accommodations (condominiums/camp/hotel) with respect to scheduling, booking and coordinating availability with colleague schedules.
- Receives, submits and audits time entry including daily swipe reports. Co-ordinates with our clients’ personnel to resolve any time entry discrepancies such as RBA’s; responsible for daily approval on timesheets submitted.
- Main point of contact for our clients’ SCM, for billings, as well as Supervision for timesheet entry deficiencies.
- Daily assessment review of SAP time swipe reports validation against timesheets submitted
- Pulls daily swipe reports & RBA’s and measures them against the daily time entry for timely billing.
- Coordinate and schedule cleaning with sub-contractor and ensure cleanliness of condominiums meets Convergint standards.
- Ensure all colleagues are mobilized and have full access to client sites, be able to assist colleagues with urgent and last-minute mobilization request. Proactively monitor the mobilization process to ensure colleagues meet all site requirements.
- Assist Human Resources with onboarding new hires, ensuring the new hire packages are completed along with all other items on the new hire orientation schedules.
- Assist with the development of KPI measurement tools and reporting methodologies, accumulate data as required, and generate reports on a timely basis for management review and action.
- Answer phone calls in a professional manner and forward to appropriate individuals as required.
- Provide support to colleagues with respect to the submission of timesheets.
- Mentor and resolve scheduling challenging issues and problems with the support of Supervisors
- Act as “our customer’s best service provider” at all times thereby ensuring Convergint is the customer’s first choice for service.
- Certificate or Diploma in business administration or finance preferred.
- Minimum of 2-4 years of experience in service and administration
- Previous experience in SAP time entry.
- Previous experience in PO process.
- Excellent customer service skills and telephone mannerisms.
- Strong organizational skills with a high regard for attention to detail
- Must be a self-starter and work well with limited supervision.
- Intermediate Microsoft Outlook, Excel, Word and Power Point skills.
- Strong verbal, written and interpersonal communication skills.
- Good financial knowledge and skills—ability to understand basic financials such as accounts receivable/payable, purchase orders, work orders, etc.
- Strong Project Coordination skills and the ability to work well with all levels of internal management and staff as well as outside clients and vendors.
