Department OverviewThe Knight Research Administration (RA) mission is to support all major functions and activities related to quality control and reporting across Knight Cancer Institute activities as required by the National Cancer Institute (NCI) P30 Cancer Center Support Grant. This includes but is not limited to strategizing and managing all aspects of the institute's CCSG and supplement grants, including membership, research programs, shared resources, development funds, budgets and expenditures, education and training, diversity equity and inclusion, community outreach and engagement, research programs, publications, grants, compliance with NCI Clinical Trials Reporting Program (CTRP), and reporting obligations under the Food and Drug Administration Amendments Act of 2007 (FDAAA) via ClinicalTrials.gov as well as other regulatory requirements, as identified. Activities also supported by RA include but are not limited to Knight investments in research through internal funding awards (e.g., Knight Innovation Awards, CCSG pilot projects, Umpqua Awards, Lamfrom Awards, Research Allocation Committee funds (RAC), as well as other research administration activities as assigned by Knight Leadership. Knight Research Administration also provides a central location for policies, procedures, and systems to ensure accurate reporting and administration of these key activities.The Knight Diversity, Equity, and Inclusion (DEI) Program within the Knight Cancer Institute assists in coordinating existing and new DEI-enhancing activities and identifying and developing additional opportunities to support a comprehensive and diverse oncology workforce.Function/Duties of PositionUtilizing clearly defined expectations and effective communication skills, the DEI Project Coordinator works directly with executive-level and operations-level leaders in executing this priority initiative for the Knight Cancer Institute. This role assumes primary responsibility for collecting, generating, facilitating, planning, developing, and reporting on oncology DEI programs/activities across OHSU that support developing a comprehensive and diverse oncology workforce. These activities range from high school through full professor, as well as activities to diversify across all roles supporting oncology-related activities. Working closely with the Associate Director of Diversity, Equity, and Inclusion and reporting directly to the Knight Associate Director of Administration, this position supports curriculum development, manages events, coordinates communications, establishes tracking mechanisms for DEI activities, and other DEI-related activities as assigned.Working with the Knight Associate Director of Administration, Associate Director of Diversity, Equity, and Inclusion, Knight Co-Associate Directors of Education and Training, and the Knight Associate Director of Community Outreach and Engagement, this position will work with leaders across campus to ensure institutional DEI efforts are integrated into Knight programmatic efforts.As part of Knight Research Administration, this position participates in formal and informal training relative to the responsibilities described herein. By fulfilling this position's responsibilities, the DEI Project Coordinator will also identify and actively propose revisions to educational materials, toolkits, and SOPs to ensure consistency in messaging related to processes, regulatory compliance, and research data integrity.Every Knight Cancer employee is expected to embody our guiding principles:

Project Management
  • Provides comprehensive project management to support strategic DEI initiatives
  • Collaborates with institutional partners to ensure transparency of programmatic efforts. Coordinate efforts between the ADs and DEI counterparts across campus, e.g., the OHSU Diversity Office. Assists with the evaluation of existing and new programs.
  • Identify, communicate, and assist with DEI funding opportunities (e.g., NIH diversity grants)
  • Working closely with the Associate Director of Diversity, Equity, and Inclusion, supports curriculum development, manages events, coordinates communications, and establishes tracking mechanisms for newly identified DEI activities, among other activities as assigned.
  • Develops and maintains detailed project plans; manages project scope, timeline, budget, resources, costs, project/data analytics, and quality in accordance with established project management methodology and best practices.
  • Ensures projects are on track, communicates the status of projects, builds contingency and mitigation plans, and prepares and provides regularly scheduled project updates to leadership. Proactively identifies, aligns, and reconciles potential areas of duplication or conflict with existing strategies, operations, and programs.
  • Develop clear communication of available activities to internal and external parties (e.g., website, SharePoint, etc.) to ensure opportunities are apparent to potential participants.
  • Working closely with the Associate Director of Administration and Associate Director of Diversity, Equity, and Inclusion, compiles reports to communicate efforts spent within the Knight DEI Program.
  • Collaborates and contributes to the success of the Knight Cancer Institute Strategic Plan, as appropriate.
Administrative Support
  • Provides administrative support for the DEI office, which includes, but is not limited to, scheduling meetings, supporting expense report submission, coordination of DEI events (as applicable and in concert with the Knight Events team, as appropriate), and any other administrative or supply tasks necessary for the conduct of DEI activities in the Knight.
Project Analytics and Evaluation
  • Develops a project evaluation plan and processes to ensure implementation meets project goals and objectives. Utilizes data to inform critical project decision points.
  • Conducts and/or supports complex qualitative and quantitative analysis of project data, summarizes findings, draws appropriate conclusions, and effectively communicates results to the team.
Research Administration Team Expectations
  • Support other Research Administration positions or activities as needed for coverage purposes.
  • During annual progress reporting and competitive renewal of the P30 Cancer Center Support Grant (CCSG), provides all manner of support activities as assigned by Knight Research Administration Leadership.
  • Willingness to assume responsibility for tasks that may be outside of the formal job description, including those perceived as belonging to "lower pay grades," to get the job done. Complete other duties as assigned to fulfill the Knight mission.

  • Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review. Two of the required years must have included administration or oversight of an on-going project or program;
  • OR A Bachelor's degree in Business Administration, Management, Public Administration or a closely related field may be substituted for up to two years of the required experience.

  • Ability to use tact and diplomacy to maintain effective working relationships
Preferred QualificationsEducation & Experience:
  • Master's degree
  • Three years of project management or program management experience
  • Oncology experience
  • Experience in an academic environment
