Iconic Accountancy & Finance Division are delighted to be supporting Scotland’s largest independent firm of Chartered Accountants and Business Advisers in their search for a Senior Administrator on a full-time, permanent and hybrid basis within their Glasgow Head Offices.One of the UK’s top 10 accountancy firms, this firm have been moving from strength to strength, cementing themselves as a market leader in their niche. This role will form part of the Corporate Tax team, where the successful candidate will be responsible for ensuring an efficient administrative support to the firm's Corporate Tax team. Key duties will include:
  • Supervising the Tax Enquiry Service inbox, handling claims, inquiries, quotes, and the renewal process
  • Managing the enquiry register, obtaining progress updates, and ensuring its maintenance
  • Reviewing and overseeing Investigation Work in Progress (WIP), seeking budget updates, and billing as necessary
  • Conducting Anti-Money Laundering (AML) annual reviews
  • Preparing fee schedules and corresponding emails for clients
  • Managing Work in Progress (WIP) adjustments and initiating transfers
  • Compiling and formatting letters and reports using Microsoft Word and PowerPoint
  • Drafting proposals for client engagements
  • Managing CCH filing activities including emails, letters, and document uploads to CCH/SharePoint
  • Organising partner emails
Coordinating meetings, managing diaries, and providing executive assistant support
  • Processing timesheets for the team
  • Overseeing the Tax Enquiry Service inbox, addressing claims, inquiries, quotes, and renewal procedures
  • Supervising the enquiry register, ensuring regular updates and maintenance
  • Reviewing and managing Work in Progress (WIP) for investigations, updating budgets, and facilitating billing
  • Generating individual WIP reports for CT managers and financial reports for CT partners
  • Managing CRM by adding and maintaining targets, contacts, and opportunities for all Specialist Taxes
  • Distributing team newsflashes and uploading them to JC Connect
  • Maintaining and updating 'Meet the Team' pages on website
  • Monitoring the CT Advisory tracker
  • Assisting with CT risk reviews by preparing comprehensive reviews with relevant information (both compliance and advisory)
  • Handling any ad-hoc projects and providing ad-hoc administrative support.
To be successful in this role, the following experience is required:
  • Strong administrative support experience
  • Experience within tax/ finance would be advantageous
  • Excellent organisation and prioritisation skills
  • Ability to work well within a fast paced role
  • Excellent time management skills
  • Strong communication skills, both written and verbal
