- Provides administrative support, such as coordinating calendars and calendar management, sorting and distributing mail, processing invoices, scanning and saving licenses and other records, booking travel, submitting expenses and handling copies, larger print jobs and mailings.
- Drafts and maintains biographical affidavits and quarterly organizational chart
- Completes and files corporate amendments and annual reports
- Coordinates signature requests.
- Updates and maintains governance system (GEMS) and Onit.
- Keeps current with holding company requirements.
- Performs other functionally related duties as assigned.
- General support of projects for the Legal department, as needed.
- Expertise in Microsoft Word, Excel, Foxit PDF
- Comfortable learning and using legal technology tools
- Ability to interact with people at all levels of the corporate structure
- Self-motivated team player with the proven ability to work independently and prioritize and handle numerous competing demands in a high-volume, fast-paced working environment, frequently under urgent deadlines
- Strong interpersonal and communication skills
- Strong organizational skills
- Detail-oriented skills
- Ability to handle confidential information sensitively and discreetly
- Previous law firm experience and/or in-house legal department experience
- Flexibility with overtime
- Proficiency in PowerPoint
- 2+ years of experience as an administrative assistant
