Job Responsibility To act as a first point of contact dealing with the CEO. To provide full Secretarial support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the CEO. To proactively manage and coordinate the diary of the CEO by prioritizing and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided. Plan and organize travel logistics and activities, including accommodation, transportation, and meals. Maintain effective filing and data storage including emails and retrieval systems ensuring the needs of the CEO are met. To provide support for Board of Directors meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers and reports, taking minutes and following up on the action points. Prepare reports for the CEO pertaining to work and meetings. Undertake any other appropriate duties as required to support the CEO. To carry out all the duties with complete discretion and a high regard for confidentiality. Able to undertake any other duties relevant to the needs of the organization and as directed. This job requires you to travel. Job Requirements Diploma or Bachelor degree or equivalent; Strong work tenure: 2 - 3 years or more of experience in handling senior management or C-Suite Management; Highly motivated, fast learner and resourceful. Able to multitask and work independently; Able to write and converse professionally in Mandarin, Bahasa Malaysia and English is a must. To be able to deal with clients from China; Proficient in Microsoft Office (Word, Excel, PowerPoint), Google Workspace and social media platforms; Able to commute and work in Setia Alam; Able to start work immediately is an added advantage.
