We are looking for someone who has had experience in outdoor events or festivals and is hungry for an opportunity to grow and develop their career in event production.The Events Production Assistant will be responsible for organising, inventorying and maintaining all Events Team equipment and keeping the Event stores clean, organised and tidy at all times. Event delivery is a key component of the role and so regular weekend, late night and early morning work is involved.This job is ideal for someone who is excited to get their hands dirty and always willing to learn. An excel whizz who won’t stop researching until they have found exactly what we need. Someone highly organised, comfortable working in a fast-paced environment, both in the office and on site, and able to manage working on multiple projects at a time.Main Duties/Responsibilities:Event Production
- Assist with research for various events, from Battersea Park Fireworks to seasonal celebrations
- Be on-site to handle tasks like customer service, ticket sales, and setup/breakdown while still smiling at 3am (in the pouring rain)
- Help manage contractors, suppliers, equipment, and even handle paperwork (schedules, safety plans) and attend planning meetings
- Maintain accurate and up-to-date event documentation: This includes proofreading, filing, updating, and editing all production paperwork (site plans, event management plans, safety documents, schedules, and briefing documents)
- Liaise with everyone involved, from casual staff to performers and statutory services (some examples: environmental, waste management, building control, grounds maintenance)
- Keep the events store tidy and organised
- Manage relevant inboxes and deal with customer queries regarding events & ticketing
- Ensure everyone involved (casual staff, food & beverage traders, and performers) has the information they need by checking availability, distributing schedules and briefings (collecting any necessary paperwork)
- Manage and update event budgets, ensuring smooth finances with monthly reconciliations and data entry (e.g. credit card log)
- Find the best deals for goods and services, following our procurement code and raising purchase orders
- Coordinate with the wider events team and other departments (.e.g marketing) to ensure everything runs seamlessly
- Maintain accurate timesheets for casual staff and keep the events diary updated (via our booking system)
- Apply for necessary licenses (TENS etc.)
- Handle client and supplier inquiries, compliments & complaints professionally, escalating issues to the events manager / head of events when needed.
- Support the marketing team by providing information for promotional materials and attending briefing meetings and ideation sessions
- Be prepared to tackle additional duties as directed by the Events Manager or Head of Events
- Large-scale event experience with on-site execution.
- Proven ability to think on your feet and manage pressure.
- Flexible and available to work weekends, early mornings, and late nights and manage your time accordingly. This is particularly heavy during May to end August and late October to end December.
- Experience booking talent, sourcing infrastructure, and adhering to health & safety regulations.
- Excellent communication skills in writing, verbally, and face-to-face.
- Proven customer service experience with a focus on exceeding expectations.
- Strong negotiation skills with suppliers.
- Proficient in project management with a focus on budgets and deadlines.
- Highly organized with experience working across multiple projects.
- Self-starter with the ability to work independently while also being a team player.
- Passionate about creating engaging events for diverse audiences.
- Proficiency with Microsoft Office applications
- Confident driver with clean UK manual driving license (essential)
- Personal Licence holder
- Proficiency with Priava, or other diary management software
- Experience with Xero, Sage or other accounting software
