- This small, collaborative team is seeking a full-time Payroll Specialist & Bookkeeper to provide the efficiency and attention-to-detail that makes BKA’s services exceptional.
- This role will take the lead on 15-25 client accounts. When we say “take the lead” we mean that BKA bookkeepers can independently:
- Answer all client emails and questions. If unable to answer a client’s questions, they seek out a Team BKA expert for the answer, then follow up with team members and clients to ensure client needs are met
- Proactively provide checklists of required documents and deadlines for client use
- Suggest strategies to simplify bookkeeping and accounting systems for Team BKA and our clients
- Thrive and adapt as clients grow and their systems and processes change
- Manage their own time and assigned projects to meet all deadlines and compliance requirements
- Follow up with clients and fellow team members regarding open projects and deadlines
- ·Maintain their knowledge of US tax and payroll requirements and can evaluate all client records for accuracy
- Coordinate with payroll team for 1099 and W2 reporting, including collecting W9s and receiving client authorization
- Coordinate with tax team for business and personal tax filings, including collecting documents and assisting with closing entries
- Gather all client bank statements
- Reconcile all client accounts
- Send invoices for client accounts receivable services
- Schedule bill payments for client accounts payable services. Ensure clients approve payments
- Send monthly reports to clients
- Send monthly Missing Information Requests (MIR) to clients
- Follow all Quality Control (QC) procedures, including a monthly 1–2-hour QC call with account manager via Zoom
- Attend monthly 2-hour team training sessions via Zoom at 9 AM – 11 AM CST
- Pull timesheets and process payroll
- Collect employee documents, receipts, etc. for reimbursement
- Send payroll registers to clients for approval
- Ensure payroll software accurately pays taxes and salaries. Schedule any additional cash transactions to retirement accounts, insurance premiums, and other employee benefits
- Answer all client and BKA team communications
- Update project management software with progress reports
- Enter client transactions via Keeper, a client management tool, and Quickbooks Online (QBO)
- Attend weekly 30-min team huddle sessions on Tuesday mornings at 9 AM CST
- Coordinate with tax specialist to set client salaries
- Email clients updates and questions regarding their accounts
- Collect contracts and documents regarding client new hires, accounts receivable, etc. Ensure client employees are set up correctly in payroll system.
- Ensure client vendors and customers are set up correctly in QBO and payment systems
- Onboard new payroll clients
- Clean up client accounts as assigned
- Other duties as assigned
- Paid Time Off (PTO): All full-time team members receive 21 paid days off annually. These are accrued at a rate of 1.75 days per month and can be used for any reason – vacation, sick time, mental health time, holidays, etc. You must use PTO for all time off. After 3 years, PTO increases to 30 paid days off annually accrued at a rate of 2.5 days per month.
- End of Year Bonus: Bookkeepers have the opportunity to qualify for an annual, end-of-year bonus based on overall company performance and profitability. (This is not a guarantee and is only given in years where the company did well so that everyone can benefit from the success of the company and our shared hard work towards a common goal.)
- Internet Allowance: You will be reimbursed up to P1500 a month to upgrade your internet connection to 50 MBPS. Upon approval, you may submit your bill for reimbursement every month.
- Health Bonus: You will be reimbursed up to P5,000 for an individual plan, P3,500 to include a spouse and for each child dependent up to a max of 3 children (for a total max of P14,000). Upon approval, you may submit your bill for reimbursement every quarter.
- In-Home Helper: Full-time team members will be reimbursed up to P10,000 a month for an in-home helper to assist with cooking, cleaning, and caring for children and other family members. Upon approval, you may submit your bill for reimbursement every month.
- 13th Month Pay: On the anniversary of your hire, bookkeepers receive an annual bonus equal to one month’s pay.
- Computer - at least i5 or equivalent with 8gb RAM
- Internet Speed - At least 50 MBPS Download speed
- 5+ years of experience in finance, accounting, or relevant field
- 3-5+ years of experience with US payroll laws and procedures
- Quickbooks Online certified is a huge plus
- Proficiency in Quickbooks Online, Excel, and Google Sheets
- Speak fluent English
