Position Summary:The Campus Secretary/Registar provides administrative, secretarial support and serve as School Registrar for the Campus Director/Headmaster and department. In addition to typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.Qualifications:Education/Certification:
  • 1 year certificate from college OR technical school
Experience:
  • 2+ years of experience in working within an office environment.
  • 2+ years of experience working with the Google and Microsoft Office suite of applications
  • 2 years of related experience and/or training; or equivalent combination of education and experience.
Required Knowledge, Skills, and Abilities (KSAs):
  • Able to alphanumerically and chronologically file documents, develop office procedures, and follow directions.
  • Able to handle confidential information in a professional and secure manner.
  • Able to answer phones, take messages, and direct others to the appropriate staff and/or department.
  • Able to type 60+ WPM.
  • Able to work office equipment.
  • Able to disseminate information according to ResponsiveEd, State, and Federal Guidelines.
  • Excellent verbal and written communication skills.
  • Ability to learn customized computer programs.
  • Ability to meet compliance deadlines.
  • Ability to communicate effectively verbally and in writing with staff, students, and parents.
  • Ability to manage multiple priorities effectively and work under pressure.
  • Ability to develop and maintain effective working relationships.

Responsibilities and Duties:
  • Greet visitors, determines nature of business, and direct visitors to the appropriate destination.
  • Ability to handle visitors and phone calls which do not require the Campus Director's attention. Answer questions which require a detailed knowledge of school procedures or collection of information from files.
  • Assist parents in completing Enrollment and Re Enrollment Forms.
  • Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
  • Complete student transcripts and distribute class rank information each semester.
  • Assist with completing Graduation Plans at the end of the spring semester for all students.
  • Process McKinney-Vento applications; ensure Food Service Department receives updates and timely reports.
  • Communicate effectively with Parents and corporate staff via email, telephone, fax, and in person in a professional manner.
  • Keep Campus Director's calendar and schedule meetings. Brief the Campus Director on these meetings, send for students and apprise Campus Director of their needs when meeting is requested.
  • Assist with reports for the school, faxes or email reports to the appropriate corporate staff.
  • Ensure timesheets are completed daily and sent to corporate staff prior to each payday.
  • Maintain all school funds and budgets and prepare reports. Complete Purchase Order (PO) for Campus Director approval so that school supplies may be ordered.
  • Ensure curriculum order is compiled and sent to corporate staff.
  • Receive and distribute incoming mail; channel outgoing mail.
  • Responsible for the upkeep and regular maintenance of the office copier and other office equipment.
  • Maintain Student Attendance Records and fax these to the Public Education Information Management System (PEIMS) Coordinator.
  • Ensure appropriate enrollment forms are completed and sent to the PEIMS Coordinator in a timely manner.
  • Track students who leave or withdraw from the school and ensure appropriate documentation of leave codes.
  • Talk with student encountering problems, resolve problems, or direct student to teacher or Campus Director.
  • Answer telephones to provide information, take messages, or transfer calls to the appropriate staff and/or department.
  • Channel information to faculty and staff from all sources.
  • Accept, track, and deposit funds for lunches, school supplies, and student activities.
  • Organize and manage the meal program to follow federal and state guidelines.
  • Prepare the daily and monthly reports and email reports to the appropriate corporate staff.
  • Disburse funds, record financial transactions, and audit and balance student organization and other school fund accounts.
  • Maintain calendar of school events.
  • Make arrangements for substitutes for teachers; procure coverage for classes in emergency situations.
  • Compile transcripts for students.
  • Assist with assemblies.
  • Perform special projects, during and after normal business hours, and other duties as assigned. NOTE: After normal business hours may include, but is not limited to, Saturdays.
  • Responsible for general clerical duties.
  • Attend all staff meetings and keep minutes.
  • Assist with commencement services.
  • Travel as necessary.
  • Perform all other duties as assigned.
