- Maintains a high level of discretion and confidentiality regarding candidate, employee, and organizational information.
- Provides administrative support to the Senior Vice President of Human Resources and other Business Operations leadership, including calendar management, credit card logs, expense reports, appointment set-up and other administrative or clerical tasks as instructed.
- Provides front-desk reception coverage, coordinating vacation, time-off and meal break periods amongst other departmental coordinators..
- Ensures proper protocols are enacted when away from the front desk, including direction of the call box, voice mail, appropriate signage, etc.
- Maintains current dial by name phone directory.
- Ensures employees, guests and visitors follow proper Sign In/Sign Out protocols.
- Schedules conference rooms checking in and out all accessories for HFUW AV equipment.
- Assists with troubleshooting of conference room technology set-up as needed.
- Partners with Facilities Technician to ensure conference rooms are reset and maintain a professional appearance.
- Opens, sorts, and distributes all incoming mail.
- Lists all checks received through the mail on a daily basis and provides to Finance team.
- Ensures all deliveries received are logged and signed for by the receiving party following the outlined package delivery procedure.
- Serves as the primary resource for office supply orders in the organization, ensuring appropriate approvals are received and invoices logged for Finance.
- Provides entry-level assistance and support when needed with recruitment, employee relations, employee engagement, and other Human Resource matters. Escalates non-entry level matters to the Director of Human Resources.
- Advertises job openings on company's careers page, national vacancy listings, social media, various job boards and internally on the company intranet.
- Conducts pre-screen interviews for assigned positions within the organization.
- Provides general assistance with scheduling interviews for hiring managers and Human Resources.
- Supports other Business Operations departments with administrative tasks as instructed.
- Maintains integrity and confidentiality of Human Resource files and records.
- Coordinates and prepares for all internal events and training, such as New Hire Orientation, Leadership Development and Benefits Open Enrollment.
- Works closely with the Director of Human Resources in management of new hire paperwork and subsequent data flow and management, including processing of Form I9.
- Provides a rewarding new employee experience through ensuring compliance with drug and background screenings, completion of new hire paperwork and providing support to new hires.
- Sends job offer confirmation letters, regret letters, and answers high-level total rewards queries.
- Coordinates ordering business cards, name tags and other pertinent items for employees.
- Maintains inventory of Human Resource supplies and branded collateral.
- Collaborates with the Human Resource team to continuously improve processes related to recruiting, preboarding and onboarding processes.
- Assists with tracking and processing employee referral incentives.
- Supports birthday and service anniversary process.
- Assists with employee engagement and training sessions when instructed.
- Ensures SharePoint directory is up to date with newly hired and recently separated employees.
- Updates staff changes within the Human Resource Information System up to but not including, compensation, title changes, separations, and supervisor changes.
- Maintains accurate and up-to-date position descriptions.
- Ensures accurate personnel files are up to date both electronically and physically.
- Participates in organizational committees and/or special projects as directed.
- Answers frequently asked questions from applicants and employees relative to standard policies and hiring process; refers more complex questions to Director.

- High school diploma or equivalent required, associate's degree preferred.
- Minimum of two years in an administrative or office support capacity.
- Prior Human Resources experience strongly preferred.
- Excellent verbal and written communication skills required.
- Knowledge of database applications and Microsoft Office products including Word, Excel, and Outlook.
- High level of integrity and understanding of confidentiality required.
