Business Operations Coordinator (Bilingual)

- Providing administrative support to the Operations team and its clients
- Assist with translation of internal documents (English to French and vice-versa)
- Organize and schedule appointments and meetings for Senior Executives
- Event planning and coordination for Diabsolut for both virtual and in-person events
- Assist with travel arrangements for project team members and/or senior staff
- Submit and reconcile expense reports for Senior Executives
- Assist in donations and gift purchases for Diabsolut
- Ensure all information in Diabsolut's internal CRM system is accurate and up to date
- Create, update, and maintain process documentation for Operations
- Assist in the preparation of internal communications related to Operations processes
- Responsible for overseeing contracts and contract management repository in SharePoint/MS Teams
- Assist with Onboarding and Offboarding employees for Diabsolut
- Acquire resumes from new employees to be transferred onto Diabsolut template
- Responsible for ensuring employees maintain resumes on quarterly basis
- Responsible for tracking all certifications, trainings, voucher codes, and training expenses within Diabsolut
- Assist with internal support ticket creation in DevOps for Operations
- Assist with all RFP and RFI submissions for Diabsolut as required
- Other duties and projects as requested
- Highly proficient with MS Office (Word, Excel, PowerPoint), Office 365
- Experience with MS Teams, Salesforce, Certinia and SharePoint (asset)
- Self-starter with ability to multitask, be proactive, and has exceptional attention to detail
- Strong work ethic with the ability to adapt to changing priorities and work well under pressure
- Autonomous with the ability to work independently under general instructions
- Strong integrity with ability to maintain confidentiality and manage highly sensitive information
- Superior written and verbal communication skills
- Strong analytical skills and great problem-solving ability
- Post-secondary diploma in administration and/or 2-3 years of experience in related field
- Must be FLUENTLY bilingual in French and English, written and spoken
- Exceptional commitment to customer service with strong sense of urgency
- Excellent communication and people skills
- Desire to work as a team with a result driven approach.
- Salesforce & PSA platform knowledge is nice to have.
