ANICON. Sustainable Project & Construction Managers is seeking for an extraordinary team player, an Executive Assistant / Office Administrator for our offices in Athens, Greece, reporting to the Founder and Managing Director. The purpose of this team player will be to: deliver value on organization goals, growth, and sustainability; provide support to the Founder / Managing Director and other executives. organize and maintain the executive’s schedule. perform a variety of administrative tasks; based on the scope and the needs of ANICON. provide project management support; document control maintain responsibility for the smooth operation of the office; become an invaluable member of the team; contribute to the efficiency of the overall business. You will be the one to: Quickly and efficiently face challenges and solve problems that arise in the work environment. Deliver results based on the needs of the projects at hand. Manage multiple projects and tasks simultaneously. Deliver projects on time. Pay attention to details that could hinder the results of the deliverables. Diligently and meticulously work on projects. Deliver on communication, numbers, timelines, costs and other sensitive data and written reports. Ensure that all assigned duties are carried on timely, efficiently and correctly. Major Tasks Executive duties support (maintaining executive’s agenda and assist in planning appointments, attending meetings, conferences). Personal assistant to the Managing Director. Office communication (receiving and screening phone calls and redirecting them when appropriate) Office organization (monitor office supplies and assist with maintenance). Administrative duties (organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks. Handle and prioritize all outgoing or incoming correspondence e.g., e-mail, packages etc. Project management support, organization and follow up (writing up reports and other communication material for multiple projects at a time, translations, editing, etc.) Responsibilities include Handling confidential documents and data ensuring they remain secure. Maintaining electronic and paper records ensuring information is organized and easily accessible. Preparing invoices or financial statements and assist in bookkeeping. Keeping minutes and following timelines. Conducting research and preparing presentations or reports as assigned. Proposing solutions that will improve efficiency and organization, add value, automate processes. Searching of materials and purchasing: Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders. (compare & draft costs) Making travel and other arrangements for executives. Becoming involved, organizing and acting out on any new project, or ad hoc duties that may arise. Experience · 10 years of proven experience as executive secretary or similar administrative role. · Previous experience in either a construction or property relevant role is preferred. Education BSc. in business administration or relative field Languages English proficiency spoken and written. Greek proficiency spoken and written. Skills and Characteristics necessary for the candidate to be a good fit: Are you experienced in the following Technical Skills? Digitally Competent. Proficient in MS Office including Word, Excel, Power Point. Knowledge of "back-office” software (eg. ERP) is considered a plus. Experience with PDF editing (ADOBE), Google Workspace, Canva, Asana, Workday etc. In depth knowledge of office management and basic accounting procedures. Knowledge and use of technical vocabulary of relevant industry. Familiarity with basic research methods and reporting techniques. Excellent numerical, reasoning, and analytic skills. Familiarity with basic research methods and reporting techniques. Use of Social Media platforms and communication apps. Can you be described as a professional who is: Outstanding in communication?
