Job Title Facility and Office Services Manager ItalyJob Description SummaryJob DescriptionWe are searching for a General Services and Facility Manager who will be responsible for the facility management and general services in our central offices in Italy. This is a critical role in a modern hybrid workplace (awarded with Well Gold by WELL Building Institute), built to enable a superior people experience and wellbeing, and foster collaboration within the community.This role requires a combination of technical expertise, leadership skills, and a strategic mindset to ensure efficient and effective operations. The Manager will lead a team of professionals, including Reception and Community management, Corporate Health & Safety administration, Company Car Fleet, Business Operations support. The role include managing external vendors in the areas of office maintenance and cleaning.Responsibilities
  • Team management, ensuring effective service delivery on our community working in our central offices (Milan and Rome)
  • Manage external vendors such as Multiservice, Facilities Management, Cleaning services, Travel Agency, Parking
  • Effectively manage the relationship with Landlord in a multi-tenants premises
  • Establish a procedure to effectively manage emergencies
  • Ensure office equipment is supplied, as well as old records maintenance
  • Make sure Company Car Fleet is effectively managed, and relevant cost planned as per the approved budget
  • Negotiate with external vendors to secure advantageous terms in compliance with Company Policies
  • Finalize purchase details of orders and deliveries, approve the ordering of necessary goods and services
  • Ensure WELL requisites are met in the areas of Air, Water, Nourishment, Thermal Comfort
  • Collaborate with key persons to ensure clarity of the specifications and expectations of the company
Requirements and skills
  • Proven working experience as a Facility Manager, General Services Officer, Community Management
  • Leadership capabilities and People Management experience
  • Knowledge of sourcing and procurement techniques
  • Aptitude in problem solving and decision-making
  • Experience in collecting and analyzing data
