This job will require building authentic relationships with staff and affiliates that facilitate the successful candidate's ability to challenge, develop, and support them.About the Program and Position SummaryThe Operations Assistant is a member of the Finance & Operations team and will have responsibilities across the HR function, office management, and the Finance team. This part-time, 20 hours/week, role will assist with the administrative functions of the HR function; collaborate with the Office Manager on office operation functions such as covering the front desk and event support; and work with the Finance team on functions related to data entry and other occasional tasks.Responsibilities:
  • Assist with the administrative responsibilities of the talent acquisition function such as initiating and monitoring background checks as well as uploading and posting new positions in our Applicant Tracking System (ATS) as well as closing out filled positions;
  • Working with the Director of People & Operations, assist in administrative portions of benefits administration: enrollment, offboarding, open enrollment, general administration, and reporting;
  • Captures employee changes and transmits them to the Finance team to ensure accuracy for payroll;
  • Maintains accurate and up-to-date human resource files, records, and documentation;
  • Maintains the human resource information system (HRIS) - onboarding, personnel records, timesheets, benefits administration, org chart, performance management;
  • Coordinates human resources data collection, reporting, and analysis;
  • Assist the Director of People & Operations with execution of special events related to the HR function such as open enrollment, organization-wide meetings, trainings, community-building and other events;
  • Fills in for the Office Manager when they are on breaks and/or not in office;
  • Provide support to the Office Manager for office events and meetings as needed;
  • Enter financial transactions into accounting software;
  • Provide support for other duties and projects as required
Qualifications - required
  • Customer service-focused mindset, with excellent oral and written communication skills;
  • Exemplary attention to detail and organizational operations skills;
  • Familiarity with and/or interest in HR concepts and employment laws;
  • Professionalism, discretion, and strict commitment to confidentiality;
  • Ability to alternate between independent and teamwork with ease;
  • Previous experience with, and proficiency in, Paylocity highly preferred;
  • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), accounting systems, and similar computer applications; and
  • Proficient in Microsoft Office 365 Suite
Qualifications - preferred:
  • Previous experience with, and proficiency in, Paylocity highly preferred;
  • Prior HR experience; and
  • Familiarity with the nonprofit sector
