- Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly, including maintenance, mailing, supplies, equipment, bills, and errands.
- Provide support to staff and management, including handling correspondence, preparing documents, and scheduling meetings.
- Manage communication channels such as phone calls and emails.
- Maintain filing systems and ensure the proper retention, protection, and disposal of records.
- Manage data entry and other record-keeping tasks.
- Oversee office supplies to ensure resources are available when needed, and manage vendor relationships with suppliers / vendors (incl. landlord).
- Assist in the establishment and implement office policies and procedures to maintain order and efficiency.
- Review and update office policies as necessary to reflect changing needs.
- Assist with budget preparation regarding office requirements and track expenditures.
- Coordinate with building management for office maintenance and repairs.
- Ensure a safe and clean work environment.
- Provide regular office operations reports to management and identify areas for improvement.
- Coordinate with the IT department to develop and maintain inventory of all office IT equipment.
- Assist HR in the seamless recruitment and onboarding experience for new hires, support our employees across various HR topics, and contribute to the development of effective HR policies as necessary.
- Assist with the day-to-day operations of HR functions and duties.
- Assist in compiling and updating employee records.
- Process documentation and prepare reports related to personnel activities.
- Ideally, at least 2 - 3 years of experience at a relevant office administration and / or people operations role, preferably in a technology / startup environment
- Preferably, a BSc in Management, HR or a related field
- Familiarity with tools such as the Google Suite, Slack, DocuSign, and other solutions in the HR tech stack
- Excellent and clear communication style, including an excellent command of both Greek and English (in writing, and orally)
- A general understanding of general HR policies and procedures
- Strong proficiency with numbers and spreadsheets – Accounting Software knowledge (ie. SoftOne, Epsilon) will be considered a plus
- A positive attitude and a passion to learn.
