- Acting as a first point of contact for all people queries, delegating or redirecting these as necessary and giving advice and signposting where appropriate, ensuring compliance with current legislation and best practice.
- Provide high quality first line advice to line managers and staff as appropriate and signposting to the necessary policies and procedures.
- Manage the People inbox in a timely manner.
- Assist the People Advisors and Business Partner's with case work as necessary, update the HRIS.
- Tracking case work progress for the organisation, ensuring the automated process is triggered and followed up.
- Manage the driver checks and DBS checks across the organisation and escalating where necessary.
- Maintain data and systems with a high level of accuracy and in line with policy and GDPR.
- Issue contracts to all new starters within the agreed timescales.
- Ensure all new starters have the appropriate Right to Work, references, Occupational Health, and DBS checks.
- To ensure that audit and compliance protocols are maintained and that audit checks are carried out in key areas of work.
- Process any purchase order requests and invoices in the appropriate systems for authorisations.
- Support the Talent Acquisition team in times of annual leave or bulk/high level recruitment campaigns.
- Draft and send relevant correspondence in relation to employee relations cases.
- Coordinate Occupational Health appointments and clinics, and coordinate flu jabs and eye care voucher requests.
- Process the pensions auto enrolment paperwork for employees within the business as required.
- Support the People Services Manager to deliver the People Plan.
- Experience of working as a member of a team in a people focused environment.
- Builds and develops effective working relationships with others to meet shared goals.
- Experience of maintaining record systems and databases and producing information.
- Experience of working with other business areas to provide a customer focused service.
- Proven successful experience of record keeping and general administrative duties, showing a high level of attention to detail.
- Experience of consistently delivering to targets within timescales.
- Understanding of confidentiality in handling sensitive personal data.
- Computer literate with knowledge of Microsoft packages including Word, Excel, and PowerPoint, and a HRIS.
- Numerate and comfortable working with statistics and collating data, gathering, analysing, and presenting information accurately.
- Strong Customer Service skills and quality focussed.
- Excellent written and verbal communication skills.
