Purpose of the JobTo support Bible Society New Zealand Group's mission by overseeing the financial management andreporting of Bible Society New Zealand (BSNZ) and Manna Christian Stores Ltd (Manna) (collectivelyBSNZ group), to ensure that funds and financial and material assets are secured and effectively usedand that the BSNZ Group's short- and long-term financial health is maintained.23. Representative responsibilities and outcomesResponsibility Outcome1. Participate in strategic leadershipa. Participate collegially in BSNZ'sLeadership Team.Contributions encourage cohesion andvisionary planning.b. Provide expert advice to the LeadershipTeam on finance-related matters.The Leadership Team has reliable financialinformation on which to base strategic andoperational decisions.2. Lead the finance functiona. Develop and implement strategic andoperational plans for the financefunction.Finance function plans are integrated withand complement organisation-level strategicand operational plans.b. Oversee the proper and efficient runningof the finance function and the provisionof financial services to BSNZ and Manna.Finance and related administrative functionsare accomplished to a high level ofcompetence. BSNZ and Manna's finances areprofessionally administered.c. Implement, monitor, and audit processesto maintain a complete record of allBSNZ Group assets, liabilities, income,expenditures, and inventory.Records of BSNZ Group's assets andliabilities, income, expenditures, and inventoryare accurately and securely maintained, andinformation is available in a form required fortheir effective management.d. Prepare and maintain an insuranceschedule and arrange and regularlyreview insurance policies covering BSNZGroup's personnel, assets and publicliability risk.Insurance cover is appropriate to manageBSNZ Group's risk at agreed levels.Insurance expense is contained within thebudget.e. Meet Charities Commission andCompanies Office obligations and filereturns.Charities Commission and Companies Officerecords are current, and BSNZ Group complieswith its registration obligations.f. Remain current on job-related legislationand regulations and recommendcompliance to the CEO.BSNZ Group remains compliant withlegislation and regulation.CEO is aware of any non-compliance risks.3. Financial management and reportinga. Prepare entity and consolidated financialstatements following the Tier 2 financialreporting framework, including SSPreports.BSNZ entity and group-level statutoryreporting obligations are met.Financial statements are available to the CEOas required to meet reporting timelines.b. Review and present regular and annualfinancial and statutory reports for theCEO, governance and externalstakeholders as per schedule.The CEO, Audit Risk and ComplianceCommittee, National Board, Manna Board andexternal stakeholders have current and reliableinformation that enables them to fulfil theirfunctions.3c. Provide strategic and operationalfinancial analysis to the CEO and theTeam Leaders.The CEO and Team Leaders have current andreliable information on which to basestrategic and operational decisions.d. Oversee annual external audits, includingpreparation for auditors and provision ofinformation and documents as required.Audits are carried out efficiently, andinformation is available to auditors asrequired. Good relationships with auditors aremaintained.e. Manage financial risk including cashflow, investment, foreign exchange, andfraud risk and the security of financialassets.BSNZ Group's financial risk is managed toensure the security of financial assets.Potential financial risk to operations isidentified, and the CEO is notified.f. Manage the preparation of annual andproject-specific financial budgets andSSP projections.Income and expenditure budgets are timely,realistic and in a form that meets thereasonable needs of users.g. Accumulate, analyse, and report financialperformance information for ProjectTeam Leaders as necessary for projectplanning, costing, implementation, andevaluation.Project Team Leaders have reliable financialinformation to enable effective financialmanagement of projects.h. Advise and support Project TeamLeaders in budget preparation,compliance and reporting.Project Team Leaders are able to activelyparticipate in budgeting and managingfinances for projects for which they areresponsible.i.Monitor income and spending againstbudgets and intervene to managematerial variances.Material variances are identified andmanaged to minimise project disruption orcost overruns.j. Ensure processes are implemented anddocumented for the payment of allaccounts payable, wages and salaries,and tax obligations.BSNZ Group meets its financial obligations.BSNZ Group maintains quality relationshipsand a good reputation with payment recipients.k. Ensure collection of overdue anddefaulted debts is appropriatelymanaged.BSNZ Group's debt asset is managed tominimise losses through late and non-payment.4. Oversee donations receipting and constituent data managementa. Supervise and monitor the receiving andreceipting of donations from mail andbank deposits.Donations are received, processed andacknowledged in accordance with protocols.Donations are receipted accurately andpromptly and assigned in accordance withdonors' preferences.Procedures are in place and followed thatensure the security of donations assets anddonor data.4b. Supervise and monitor the capture,security, privacy and use of constituentdata.Constituent data is recorded in a way that issuitable for organisational purposes.Data is secure and privacy obligations are met.Data is available as required to achieve BSNZGroup's operational goals.5. Manage office support servicesa. Human Resources and payroll supportand oversightEnsure that HR practices, and payroll servicescomply with regulatory requirements.Review and reconciliation of payroll isconducted monthly.Ensure HR is supported in functions required.b. Oversee cleaning and other contractsand requirements for 144 Tory Street,Wellington and 6A Kellow Place, Wiri,Auckland.Cleaning and maintenance requirements aremet. Contractor relationships are appropriatelymanaged and enhanced.c. Engage with external investmentagenciesOngoing engagement and reporting aresourced from investment portfoliomanagement entities.6. Leadership, management and developmenta. Lead, manage, direct and motivateFinance team members.Team members understand how their effortcontributes to BSNZ Group's missionoutcomes, work effectively and professionally,engage in process improvement, and developin their roles.b. Model and ensure Finance teammembers comply with team andorganisation standards, practices andpolicies.Team members are aware of and comply withstandards, practices and policies and these aremodelled by their Team Leader.c. Work alongside reporting team membersto set plans designed to achieveoperations targets.Team members take appropriate ownership oftheir tasks and targets, contributing directly tooverall operations targets.d.
