Acts as executive assistant, providing operational support to the IM Country President Baltics & Ukraine and the Cluster LT as well as Europe Central Cluster (ECC) Head . Support with different projects across Novartis sites as assigned by IM Baltics & Ukraine Country President, Leadership team and/or ECC HeadMajor AccountabilitiesAs Executive assistant:
  • Maintains a close and highly responsive relationship to the day-to-day activities of the IM Country President Baltics & Ukraine and ECC Head.
  • Manages and organizes administration work for IM Country President Baltics & Ukraine and ECC Head, organizes meetings and calendar of IM Country President Baltics & Ukraine and ECC Head.
  • Participates in local Leadership team meetings and supports with agenda, pre-reads, and minutes as well takes ownership of meeting arrangements.
  • Arranges travel schedules, flight and hotel reservations for IM Country President Baltics & Ukraine and Leadership team as well as ECC Head.
  • Coordinates internal communication together with IM Country President Baltics & Ukraine and ECC Head.
  • Drives employee engagement internally and supports external communication activities (incl. existing social media channels) of the organization to enabler greater external visibility of Novartis.
  • Supports CPO and ECC Head with ad hoc requests and tasks as needed.
  • Supports with projects as assigned by IM Country President Baltics & Ukraine and/or Leadership team.
  • Supports OGC committee.
As project coordinator:
  • Work to ensure a diverse and inclusive environment free from all forms of discrimination and harassment.

  • Responsible for proper and compliant reporting of Adverse Events to fulfil all regulatory requirements and ethical obligations including timely forwarding of all spontaneous reports to local Drug Safety Responsible
  • Comply with the GxP quality requirements applicable to his/her area of responsibility, incl. but not limited to proper reporting of adverse events and customer complaints, samples handling as well as any incident that may adversely affect the quality, safety, identity, strength, purity, availability or efficacy of a commercial product or clinical trial material and/or may compromise the Novartis Quality System and the global Novartis reputation.

  • Accurate, timely and effective support for driving projects in the CPO as assigned.
Job DimensionsNumber of associates: NoneFinancial responsibility: No direct budget accountabilityIdeal BackgroundEducation: University degree (Business administration, Law, Bio-sciences).Languages: English, fluent written and spoken, fluency in Latvian language, other Baltic languages/ Ukrainian is an advantage.
