DescriptionFiscal Specialist 1Salary: $40,512- $53,964Classification: Fiscal Specialist 1Reports to: Dean of Business & TechnologyOlympic College is seeking to hire a full-time classified Fiscal Specialist I to provide support to the college's instructional offices in fiscal management. The position will begin in by supporting the Business and Technology Division directly and will move to a more centralized role within six months. This position applies principles of fiscal management to perform such functions as record keeping, auditing, analysis, budgeting, payroll, travel, purchasing and other types of fiscal operations. This position initially provides assistance to the Business & Technology division with budgetary support. Primary duties include purchasing, credit card management, fiscal record keeping, auditing, analysis, budgeting, payroll, travel, and other fiscal operations in accordance with the college practices and policies. This position supports the overall college mission to identify, share and make the most effective use of our finite resources.Essential Functions
  • Maintain and modify fiscal record-keeping systems, databases, and spreadsheets.
  • Review budget reports for all accounts including instruction, revenue, expenses, and payroll to verify accuracy, identify trends, notify appropriate individuals of errors, and recommend solutions as needed,
  • Prepare expenditure projections and notify appropriate individuals of any projected or over-or-under expenditures.
  • Work with faculty to complete Supply Requisitions to include the full chart string, purchase justification, courses utilizing equipment/software if applicable, and budget balance before purchase and after.
  • Routinely review and reconcile all division purchases including recurring memberships, hardware, software, and certification charges and those expensed through IT.
  • File and organize purchase receipts.
  • Maintain pending and cleared transactions in a timely manner to ensure that departments stay within budget.
  • Follow up on shipments and confirm item delivery.
  • Maintain equipment, software, and memberships.
  • Review and reconcile credit card purchases, and purchase orders in addition to other expenses, posting to division departments to properly budget and resolve problems as needed with the Business Office and Budget Office.
  • Coordinate with the division budget manager and HR on all expenses related to faculty professional development, tracking expenses by faculty.
  • Maintain and process travel expense records ensure compliance with state and college regulations and procedures and allocate to the appropriate budget.
  • Prepare, compile, and provide fiscal reports as needed or requested.
  • Assist with budget development.
  • Cross-train with other B&T department staff to cover if needed.
  • Other duties as assigned.
QualificationsMinimum Qualifications
  • High School Diploma or Equivalent
  • Fiscal Record keeping experience.
Preferred Qualifications
  • Two years of fiscal record keeping experience
  • Two years' experience working in a community college environment.
  • Working knowledge of ctcLink/People Soft.
Additional InformationTerms of EmploymentThis is a full-time classified position scheduled to work XX hours a week, with a salary range of $40,512 - $53,964 All classified positions will start their salary at Step A, when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union.
