We are looking for an Office Administrator / People Operations Specialist to join our dynamic team at our headquarters in Kifissia. Your role will involve managing day-to-day office operations, coordinating administrative tasks, and ensuring the office runs smoothly. In parallel, you will work closely with other People functions to execute HR operational processes and services with a focus on employee experience and data integrity. If you have outstanding organizational skills, are competent in prioritizing and rely mostly on common sense and self-motivation to perform your duties and responsibilities, then this role is for you! What you will be doing: Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly, including maintenance, mailing, supplies, equipment, bills, and errands. Provide support to staff and management, including handling correspondence, preparing documents, and scheduling meetings. Manage communication channels such as phone calls and emails. Maintain filing systems and ensure the proper retention, protection, and disposal of records. Manage data entry and other record-keeping tasks. Oversee office supplies to ensure resources are available when needed, and manage vendor relationships with suppliers / vendors (incl. landlord). Assist in the establishment and implement office policies and procedures to maintain order and efficiency. Review and update office policies as necessary to reflect changing needs. Assist with budget preparation regarding office requirements and track expenditures. Coordinate with building management for office maintenance and repairs. Ensure a safe and clean work environment. Provide regular office operations reports to management and identify areas for improvement. Coordinate with the IT department to develop and maintain inventory of all office IT equipment. Assist HR in the seamless recruitment and onboarding experience for new hires, support our employees across various HR topics, and contribute to the development of effective HR policies as necessary. Assist with the day-to-day operations of HR functions and duties. Assist in compiling and updating employee records. Process documentation and prepare reports related to personnel activities. Requirements: What you bring on the table: Ideally, at least 2 - 3 years of experience at a relevant office administration and / or people operations role, preferably in a technology / startup environment Preferably, a BSc in Management, HR or a related field Familiarity with tools such as the Google Suite, Slack, DocuSign, and other solutions in the HR tech stack Excellent and clear communication style, including an excellent command of both Greek and English (in writing, and orally) A general understanding of general HR policies and procedures Strong proficiency with numbers and spreadsheets – Accounting Software knowledge (ie. SoftOne, Epsilon) will be considered a plus A positive attitude and a passion to learn. A strong interest in setting up simpler, more pleasant and more productive processes to assist employees and managers. An eye for scalable solutions and a passion for technology and automation with an interest in presenting solutions for the long term. Great attention to detail to deliver high quality work. Impeccable organizational skills and an ability to prioritize effectively, even under stress.
