Under minimum supervision, performs office management of moderate difficulty for an academic department chair and faculty as assigned. Office management responsibilities include, but not limited to, preparing correspondence; filing; proofreading documents; curriculum requirements, or graduation lists; processing clinical facility affiliation and preceptor agreements.
Typical Duties/Job Duties * Maintains and assures adherence to record maintenance, confidentiality, and related practices and policies with all general office, current and prospective student files for ease of data retrieval for accreditation monitoring reports and surveys.
  • Maintains and assures adherence to record maintenance, confidentiality, and related practices and policies with all Institutional Affiliation and Preceptor Agreements.
  • Maintains Graduate Nursing Clinical Agencies agreements including preparing agreements, submitting agreements to facilities for review and signatures, completing agreements and submitting copies to Contracts Department as well as our online listing, Typhon software for student Case Logs. Initiating renewal of all contracts with expiration dates well in advance to ensure facility agreements remain active and current. Provide proof of insurance to contracting facilities.
  • Answers the telephone, addressing the caller in a professional, service-oriented manner; routes calls, takes messages and answers questions with minor interpretations of procedures, policies, or practices and referral to Level/Track Coordinator or Faculty for complex interpretations.
  • Communicates with faculty, staff, students, visitors, and others in a professional, service-oriented manner in the course of performing work or coordinating tasks.
  • Assists Nursing Department Leadership Team and faculty in the preparation and dissemination of program communication (i.e., currency of online postings).
  • Records minutes at graduate faculty meetings as assigned with dissemination following approval of meeting chair.
  • Composes and/or types routine memos and letters using a personal computer.
  • Disseminates recruiting information to prospective students; refers to appropriate Graduate Coordinator or Faculty for complex interpretations.
  • Operates a variety of office equipment such as typewriters, personal computers, photocopiers, calculators, fax machines, and related.
  • Assists in maintaining department supply inventories.
  • Plans and organizes work to ensure completion of tasks and functions in a timely manner.
  • Updates advising lists each semester.
  • Gathers appropriate information and data for Department Chair to complete credential applications for alumni.
  • Gathers and distributes to Evaluation Committee, clinical course EBI data each semester in accordance to CCNE requirements.
  • Prepares preceptorship CEU's for certifying board for preceptors each semester.
  • Performs other duties as assigned.
Knowledge, Skills and Abilities
  • Knowledge of secretarial, clerical, and general office procedures and practices.
  • Knowledge of spelling, grammar, and punctuation.
  • Knowledge of Microsoft Office applications and software.
  • Ability to perform basic mathematical calculations.
  • Ability to type 45-50 WPM.
  • Ability to organize and complete tasks in an accurate and timely manner.
  • Ability to perform work requiring accuracy and attention to detail.
  • Ability to operate a variety of office equipment.
  • Skilled in the operation of personal computer keyboards and other office equipment.
  • Skilled in oral and written communication; skill in interpersonal relations.
  • Ability to work with minimum supervision.
Minimum QualificationsHigh school diploma or GED certificate required.Preferred QualificationsThree years of diversified secretarial or equivalent experience is preferred.
