This will include managing calendars, meetings, expenses, events, presentations, travel, CRM, and group initiatives.Role-specific Accountabilities:
  • General administrative support to the team including coordinating and booking travel arrangements, handling expenses, course registrations, etc.
  • Work closely with internal and external stakeholders and assistants to schedule meetings or events in various cities, including room booking and set-up, guest registration and catering orders as needed
  • Ensure Relationship Team members are prepared for all meetings and carry forward action items, and are aware of major deadlines
  • Edit and proof-read documents, group communication and PowerPoint presentations
  • Aid in the collection and processing of advisor and partner information
  • Maintain group relevant data in the company's CRM system
  • Maintain an inventory of key external contacts
  • Handle sensitive and confidential matters relating to the daily activity of the group
  • Work cross functionally as part of a team with other groups and departments
  • Work closely with other executive and administrative assistants and teams to increase efficiencies in group support
  • Other duties as assigned
Qualifications
  • Minimum of 3 years of experience in an Administrative Assistant position; exposure to the financial industry preferred
  • University or college degree preferred
  • Advanced knowledge of MS Office (Word, Excel, Outlook, Calendar) and comfort and interest in learning new applications
  • Experience with calendar management, booking high profile meetings, events and managing the expense reimbursement process
  • Experience with CRM is an asset
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task
  • Strong communication skills (verbal and written) and interpersonal skills
  • Motivated, energetic, eager to learn, adaptable and professional
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
  • Able and willing to work flexible hours, as required
