- Management of the scheduling team, across the 15 hour working day, 365 days a year roster, delegating tasks, balancing work evenly, approving leave and organising working from home rota, managing overtime recording and approval, providing training and guidance and/or recommending formal training as required.
- Building capacity an d optimising resources to build the business whilst maintaining current HCP'S effectively and efficiently
- Management of the scheduling team leave requirements, organising replacement cover for various shifts amongst immediate and wider teams firstly as necessary.
- Introducing new technology to improve the service user and Home Support Worker experience and support this with appropriate training.
- Liaison with Area Supervisors to support end - to -end seamless delivery of high quality care.
- Reviewing Electronic Client Management Systems Innova care and its support App functionality to identify areas of improvement. Linking with our IT partners to initiate and implement changes in a timely and seamless manner.
- Flexibility to work outside of normal working hours.
- Liasson with remote members of the scheduling team as appropriate during evenings and weekends as required, organising hand over notes and ensuring their inclusion in briefings.
- Strategic development and continuous improvement of day - to - day delivery of home care services. This included planning, management, and reporting on contractual and other targets and operational objectives.
- Ensuring the Health and Safety, QA, HR, IT and Data Protection policies are consistently applied.
- Management of the performance of the scheduling team to support the delivery of a culture of continuous improvement.
- Maximise the use of current IT systems to improve the management and delivery of operational activity.
- Build effective working relationships with direct reports, the company management tea, local HSE managers and others as required.
- Develop clear performance expectations for all functional responsibilities.
- Align Scheduling team and individual contributions to deliver on objectives.
- Identify and resolve recurring problems which affect the achievements of objectives.
- Monitor weekly and monthly scheduling performance to ensure high levels of delivery with a focus on advance planning to ensure organisational resources are optimised throughout the calendar year
- Ensure a strong focus on resource planning, so that high levels of the service can be achieved and maintained
- Ensure staff skills are aligned with and reflect future business needs.
- Liase with the HR Officer on direct recruitment needs so that additional business can be taken on.
- Develop improvement opportunities for staff and resources flexibility through assignment of projects, staff rotation and skills training.
- Identify and deal with underperformance so it does not re-occur.
- Coach and provide feedback to staff so that capability levels are met.
- Support the attainment of new quality standards
- Implement plans to improve quality compliance
- Identify plans to rectify quality failings
- Closely monitor the timely completion of required activities
- Monitor complaints, and, where appropriate, identify trends for review
- Address and deficiencies in document completion and control within scheduling team activity
- Promote adherence to the organisations Health and Safety standards
- Identify areas for Safety, Health and Welfare improvement and implement changes
- Undertake projects and act as a project manager for company projects as directed
- Monitor delivery of projects within the scheduling function
- Support the implementation of new technologies
- Consistently communicate the organisations value to the scheduling team members
- maintain good record of critical communications with funders, service users, home care workers/ staff and any other stakeholder/groups.
- Work closely with the Operations manager and HR Officer to identify training requirements
- Deliver training as required
- Prepare timely reports for internal use or as required
- Conduct weekly/monthly meetings with the scheduling team
- Participate in team meetings within the organisation
- Liaze with other disciplines as required by the operations manager
- other duties will be assigned as determined by the needs of the organisation
- A relevant qualification(s) commensurate with the role
- Significant experience of Management/Leadership at a serious level
- The ability to practice safely and effectively, fulfilling professional responsibilities within the organisation including report writing within a healthcare setting
- A strong commercial focus, and capability to increase the capacity of the business to deliver services within our areas of operations
