  • Implement the maintenance, storage, retrieval and destruction of records and documents.
  • Design, monitor, review and develop efficient record filing schemes, systems and workflow by working closely with multiple functions and teams for thorough identification of documentation related responsibilities.
  • Review the records submitted by Clients, Business or Operations partners for accuracy, completeness, and compliance with internal procedures and local regulations.
  • Organize, inventorize, and perform document filing whilst maintaining documentation records in appropriate systems or applications, ensuring compliance with regulations.
  • Initiate project plans with defining critical milestones and key performance indicators aligned with global Digital Document Services mandates and objectives.
  • Understand documentation lifecycle process in details and actively challenge status quo.
  • Ensure Standard Operation Procedures are updated reflecting latest process.
  • Prepare reporting for stakeholders and senior management review.
  • Identify and communicate business partner requirements and escalate outstanding issues in a timely manner.
Required qualifications, capabilities, and skills:
  • Bachelor's Degree or equivalent
  • Strong command of English language (reading, oral, and written) with effective communication and negotiation skills to persuade adherence to firm's guidelines.
  • Proficient in applications such as Excel, PowerPoint and SharePoint.
  • Self-starter, demonstrable initiation and strong desire to learn the business and go the extra mile.
  • Individual must be results driven, have attention to detail, has passion for driving best practices, and skilled at diplomatically breaking down barriers and obstacles.
  • Ability to adapt to a rapidly changing business environment and execute accordingly on change.
  • Possess sense of urgency, ownership, excellent analytical and problem-solving skills, ability to synthesize large amounts of information and propose recommendations.
Preferred qualifications, capabilities, and skills
  • 1 year of experience in Documentation Management / Controls/ Compliance / Quality Assurance is preferred, however fresh graduates can be considered.
  • Project management experience would be advantageous as the incumbent will be exposed to regional projects.
