- Responsible for all executive activities; preparation & coordination, schedule, travel, record keeping, agendas, meeting minutes, correspondence and presentations.
- Plan meetings and coordinates visitor activities for the Executive Project Director
- Reads and analyzes incoming memos, letters, submissions, and reports in order to determine their significance and plan their distribution as adviced by Executive Project Director
- Prepares expense reports, memos, letters, budget proposals and other documents, using Word Excel, Power Point, sharepoint and/or software.
- Reviews required administrative project procedures and contribute to the improvement areas such as workflow, reporting procedures, or reports.
- Interfaces on behalf of the Executive Project Director as advices, with all internal and external counterparts, customers and suppliers;
- Schedules appointments, phone coverage, travel assistance, filing, etc.;
- Attends meetings as required, issue meeting minutes, and manages action item follow up.
- Makes travel arrangements for the Executive Project Director and the Leadership team / visitors of the project
- Provides other admin support to the Executive Project Director as needed
- Maintains confidential records and files.
- Ability to articulate well coupled with strong influencing skills.
- Good communication, interpersonal and decision making skills.
- Business analysis skills and ability to put up effective presentations as required by business.
- Excellent written and oral communication skills in English, Arabic will be an advantage.
- Effective written, verbal & listening skills.
- Ability to work independently and with minimal supervision

- Outstanding report writing and presentation preparation skills
- Excellent in using Office Software tools (Word, Excel, Powerpoint, Sharepoint etc)

- Knowledge of project management processes, techniques or methodology is a plus.

- University degree in business/science/commerce, English language or related discipline, with minimum 5-7 years experiences in an executive assistant, business analyst or related role.
- Secretarial Diploma / certificate such as CEPA (Certified Executive Personal Assistant) etc. is highly recommended
- Experience in EPC Industry and project site locations is an added advantage
- Comfortable in an unstructured and fast-paced environment.
- Self-starting, pro-active at gathering information & understanding an issue
- Ability to adapt and manage daily work in a multicultural and multi-time zone work environment
