Job SummaryBackgroundGIZ also implements on behalf of the federal ministry for environment, nature conservation and nuclear safety, projects in the fields of environment and climate. The goal of GIZ is to support the capacity development of people, organisations and institutional structures in the partner countries so as to enable them better their living conditions through their own efforts. Based on the government agreement, GIZ implements its commission in close cooperation with the civil society.ResponsibilitiesA. ResponsibilitiesThe Procurement Specialist is responsible for:
  • Purchasing materials and equipment for the GIZ Office and GIZ assisted project/programmes in accordance with GIZ rules conditions.
  • Coordinating effectively with colleagues in the procurement division and with procurement officers at the Head Office
  • Informing projects and programmes on time about the status of procurement of goods regularly particularly in the event of delays
B. TasksCore scope of tasksProcures materials and equipment locally, monitor markets, issues invitations to tender and processes orders in accordance with GIZ regulationsNotifies projects and programmes of delivery location and timeDocuments and files properly completed ordersEnsure Prosoft invoicing is made promptly and the payment balances are up to date.Controls agents providing services to the GIZ in relation to customs clearance and vehicle registration.Enters information in the customs declaration database, prepares statistics if needed
and makes follow-upEnters and maintains data relevant for procurement and tenders in ProSoftReceives goods and ensures that the receipt is documented and goods received checked
appropriatelyChecks goods invoices, goods inwards receipts and other (delivery) papers and payment
instructionsProcesses complains related on procurement e.g. cancellationsOrganising the sending of files to the GIZ HeadquarterManage all service providers’ contractsAdvice expatriate staff on import/export clearing issuesPrepares and submits all necessary papers for duty-free import of goodsProcesses cases of damage in transportEnters purchase requisitions and confirmation of receipt of goods through ‘Beschaffung
Online and SRM” for procurement through Head OfficeAdvises suppliers of defective goods delivered and arranges necessaryFollow ups arranges and coordinates the safe transhipment of deliveries to the
requesting projectCoordinates and ensures good workflow in the procurement of goods section.Other duties/additional tasksPerforms other duties and tasks at the request of managementEnsure complete filling systemC. Required qualifications, competences and experienceQualifications
  • Degree in Business Administration, diploma in Procurement or Logistics
Professional experienceAt least 3 years of professional working experience in a similar positionOther knowledge, additional competences
  • Experience with IT-based accounting programs
  • Good working knowledge of modern telecommunication systems
  • Good interpersonal communication skills
  • Good English command
  • Participates in tenders
