- Perform a broad range of administrative/clerical duties including preparing reports and agendas that may require compilation, layout, and formatting of various data, composing replies to correspondence, and composing letters, memoranda, or data in final form.
- Own calendar and manage it in a diligent and effective way. Arrange executive’s meetings and appointments and provide reminders.
- Coordinate and drive scheduling, logistical support, and catering orders for global events, meetings, summits and/or conferences.
- Enable effective office space planning and facilitate team member movement requests and logistical support for new team members, including ordering needed equipment.
- Act as the point of contact between the executive and external clients.
- Receive incoming phone calls, take messages, and route correspondence. Determine nature and appropriate destination of incoming queries.
- Always maintain appropriate discretion and confidentiality.
- Coordinate travel, accommodations, and reservations (domestic and international). Ensure the executive has productive and efficient “on the road” time.
- File expense reports and ensure timely reimbursement.
- Produce reports, presentations, and briefs as needed.
- Monitor and order office supplies.
- Assist executive in managing the storage of and access to documents and reports as needed.
- Manage team member requests and queries appropriately.
- Be proactive in taking the initiative to assemble and analyze information; determine the appropriate response to certain issues; or, determine when to refer complex problems to others.
- Seven to ten years of experience as an administrative assistant
- Significant experience navigating a fast paced, complex and diverse global environment and interacting with employees of all levels.
- Prior experience managing complexities of global travel.
- Proficient in multiple applications including Microsoft Outlook, Word, Excel, Microsoft TEAMS, PowerPoint, SharePoint, and One-Drive.
- Strong attention to detail and problem-solving.
- Experience assisting with project management (helping with timeline monitoring, documentation, etc.)
- Full comprehension of office management systems and procedures.
- Exemplary planning, forward thinking and time management skills.
- Able to manage multiple tasks and competing priorities calmly and efficiently.
- Excellent verbal and written communications skills.
- Seasoned professional in handling sensitive situations with the utmost discretion and confidentiality.
- Detail oriented, self-driven, highly motivated individual with positive energy.
- Experience navigating a complex and diverse environment and comfortable interacting with team members of all levels.
- Associate degree or equivalent experience.
