Title: People Services SpecialistCompany: Ipsen Biopharmaceuticals Canada Inc.Job Description:This is a great opportunity for an individual that is looking to gain exposure and awareness in all areas of Human Resources while building their employee experience acumen and systems knowledge.SummaryThe People Services Specialist, located in Canada, will provide functional subject matter expertise and user guidance for Workday within the HR Service Center for employees in North America. This role provides HR systems support to employees, business leaders, other Shared Services and Human Resources teams. This position serves as a point of contact for assigned functional areas and ensures data integrity in all HRIS systems, operational excellence in maintaining HR data, testing of system changes/upgrades, utilization of data reports and analyzing data flows for process improvement opportunities. This position also supports HRIS/Operations projects as assigned as well as HR communication projects.In addition, this role will support the Senior Director, Human Resources, North America with local Canadian site HR operations and initiatives.This position is 70% North America (NA) People Services (PS) focused and 30% Canada Site-HR focused.Main Responsibilities/Job ExpectationsNA PS Responsibilities will include, but are not limited to, the following:Maintain and update employee data in the HRIS system, ensuring accuracy, data integrity and completeness.Serve as HR systems “Super User” and support system maintenance and troubleshooting.Partner with stakeholders to support system related projects: System implementations and integrations.Serve a project management support for NA PS Projects as well as operate as additional project management support for broader NA Human Resources Projects which includes but is not limited to AskHR and mergers and acquisitions (M&As).Coordinate system related process improvement: Enhancements and upgrade activities for HR processes, policies and practices that impact accuracy and efficiency.Ensure data integrity across HR systems via reporting, clear processes and system administration; Maintain internal databases and systems.Prepare the documents required for payroll, gather appropriate documentation and coordinate with payroll team.Collaborate with NA HR Centers of Excellence and manage internal NA HR website (MyIpsen NA HR)Build curriculum to train, coach and mentor HR colleagues on Tier 0 process and system assignments.Maintain hardcopy employee files in Canada, in partnership with People Operations SpecialistsSupport HRBPs with employee data reports as requiredManage new hire swag in CanadaSupport audit by managing employee documentation, including job descriptionsProvide exceptional customer service to inquiries and requests.This role may provide dedicated support to global HRIS projects as assigned and / or support HR COE communication projects.Canada site-HR responsibilities include, but not limited to:Support HR operational activities, including day-to-day employee queries, interpretation and application of HR policies and processes, on/offboarding, employee change letters, job description support, and wellness initiatives, etc.Recruitment support for junior level roles (e.g., interns), participating in panel interviews, and supporting leaders with interview guide creation for varying levels.Understand and administer Canadian HR policies and procedures. Support Senior Director, Human Resources with required updates to policies and procedures as required.Coordinate the organization of required Canadian policy and compliance training (e.g., Accessibility training)Support the research to keep up to date with legislative changes in Canada and partner with the Sr. Director, Human Resources to maintain compliance accordingly and promote positive employee relations.Participate in the Canadian Engagement Committee & activities.Support ad hoc Canada HR projects, initiatives, and local events.Knowledge, abilities and experienceBachelor’s degree and minimum of 2 years of related HR experience; or an advanced degree with an HR focus with 1-2 years’ experience; or equivalent work experience.2 years’ of HRIS experience; Workday experience is required.Merger and acquisition Systems Support Experience preferred.Other HRIS systems knowledge like ADP is preferred.HR operations project management experience, idealEnglish required, French an asset.Occasional travel to the Cambridge, Massachusetts, USA officeAccessibilityIpsen Biopharmaceuticals Canada Inc. welcomes and encourages applications from people with disabilities.
