Job Description:Job PurposeTo overseeing the strategic planning, development, and execution of all events, from small-scale gatherings to large-scale conferences and forums. The Event Manager will lead a team of event planners, coordinators, and support staff to ensure the seamless coordination of resources, vendors, and logistics.Duties and ResponsibilitiesThe responsibilities of the Event Manager include, but are not limited to:1. Strategy
  • Develops the event management strategy by translating the foundations need in the area into a coherent plan with identified key results and cascading it across the different projects.
  • Works with Event Managers to define projects that best support business needs and objectives.
  • Works with Event Managers and Procurement Manager to identify implementation partners.
  • Establish and maintain relationships with key vendors, suppliers, and partners to negotiate favorable contracts and ensure the availability of necessary resources.
2. Budget
  • Prepares and recommends the budget for the foundation's event portfolio in alignment to the annual business plan.
  • Manages annual budgets of up to SAR 100M and respective revenues.
  • Monitors the performance of the event's portfolio against budgets so that areas of unsatisfactory results are identified and rectified promptly, and potential results improvement opportunities are capitalised upon.
3. Event Management
  • Lead and manage the event management team, providing guidance, mentorship, and support to ensure their professional growth and development.
  • Develop and execute the overall event strategy, aligning it with the foundation's objectives and internal client requirements.
  • Suggests new ideas and projects that Event Managers may manage.
  • Oversee the planning and coordination of all event logistics, including venue selection, budget management, scheduling, vendor negotiations, and contract management.
  • Oversees the development and building of roadmap and work plan for each event in order to understand the activities, timeline, stakeholders involved etc.
  • Collaborate with internal departments to define event goals, objectives, and key performance indicators (KPIs).
  • Conduct thorough research and analysis to identify market trends, competitor activities, and emerging event technologies to enhance event experiences and stay ahead in the industry.
  • Ensures there are proper policies & procedures for effective communication & implementation both internally and externally, regarding issues, objectives, processes, scope, performances etc. in order to ensure information sharing and alignment with the plans and goals of initiatives.
  • Oversee event marketing and promotion activities, ensuring effective communication and branding strategies to drive event attendance and meet attendance targets.
  • Monitors and evaluates the status of event lifecycle progress to identify discrepancies to agreed-upon plans, budgets, timelines etc.
  • Leads risk identification, evaluation and development of mitigation plans as appropriate to ensure adequate execution of events.
  • Acts as an escalation point to resolve issues and overcome challenges on any event related matters.
  • Monitors the performance of the contractors/suppliers to ensure compliance with the agreed contractual terms and conditions.
  • During peak time, supports event delivery as needed.
  • Analyze, evaluate, and overcome risks, and produce post event reports for management and stakeholders.
4. Collaborations
  • Closely collaborates with Business Development team to identify suitable sponsors to support the financial commitment on the agreed-upon events.
  • Work closely with the Programs' team to deliver the expected events as per their Business Plan.
5. Marketing
  • Collaborates with Marketing and Communication to ensure the events receive the right level of communication and branding.
  • Supports in drafting key messages to various marketing and communication campaigns to ensure the messages are customized to suit different stakeholder being targeted as potential attendees or partners.
6. Measuring and Reporting
  • Tracks KPIs to measure the event portfolio performance and impact.
  • Suggests ways to optimize events to improve performance, where needed.
  • Supervises the preparation of timely and accurate reports, such as event progress and impact, attendance, etc. to meet foundation and department requirements, policies and standards.
  • Implement and maintain event management systems and tools to streamline processes, enhance efficiency, and improve overall productivity.
  • Monitor event operations to ensure compliance with legal, health, safety, and environmental (LHSE) regulations.
  • Conduct post-event evaluations and analysis to measure event success, identify areas for improvement, and provide recommendations for future events.
7. People Management
  • Builds and leads a motivated, engaged and competent workforce throughout the section, by setting priorities and objectives, managing performance, and providing ongoing feedback to meet Innovation's challenges and goals.
8. Policies, Processes & Procedures
  • Recommends improvements to policies and directs the implementation of procedures and controls covering all areas of so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective output.
  • Contributes to the identification of opportunities for continuous improvement of systems, processes and practices.
Stakeholder EngagementInternal: Business Development Managers, Procurement Managers, Program Managers, Marketing Managers, Research and Innovation Program Manager.External: Delivery partners, suppliers & sponsors.Qualifications
  • Bachelor's degree in Event Management, Hospitality or any related field.
  • Master's degree in a relevant field is preferable.
  • Language: English and Arabic language skills.
  • Experience with managing a portfolio of events.
  • Proficiency in event management software and tools.
Experience
  • 10-14 years in Project Management including at least 5 years in positions of progressively increasing managerial responsibilities.
  • 3-5 years' experience in Event Management.
