- Communication and Phone Management: Answer phones, screen calls, and direct inquiries to appropriate personnel. Respond to emails, letters, and other forms of communication in a professional and timely manner.
- Calendar and Scheduling: Manage calendars for assigned staff members, schedule appointments, and ensure efficient use of time.
- Travel Arrangements: Book travel (flights, hotels, car rentals) and make logistical arrangements for staff travel, if applicable.
- Document Management: Create, edit, proofread, and format documents (letters, reports, presentations) using office software. Maintain filing systems (physical and digital) for efficient record keeping.
- Meetings and Events: Plan and coordinate meetings, conferences, or events, including arranging logistics, preparing materials, and taking minutes.
- Office Management: Order office supplies, maintain office equipment, and ensure a clean and organized work environment.
- Sales Support: Assist sales reps with tasks such as preparing quotes, proposals, and sales contracts.
- Customer Service: Answer phones and emails from customers, address inquiries about products, orders, and deliveries, and provide excellent customer service.
- Reporting: Generate reports on sales activity, track metrics, and communicate important customer feedback to the sales team.
- Minimum of 1-2 years of experience in an administrative or sales support role.
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with CRM software a plus.
- Ability to work independently and take initiative.
- Positive attitude and a team-oriented mindset.
- Strong focus on teamwork and ability to manage relationships across multiple departments.
- Ability to work accurately, with interruptions, to meet deadlines.
