Front desk receptionist duties (welcome visitors, answer phone, handle mail, in/outbound couriers)Organize the sending and receiving of frozen food samples from A-ZCoordinating with vendors, receiving, unpacking, inventory, packing, sending, notification, dry ice ordering, customs clearance, etc.)Prepare monthly CAD and USD credit card statement reconciliations and invoice compiling (excel based)Create new SAP item codes in SAPB1 ERPConfirm delivery of all courier packages sent, in case of delay contact courier and open a dossierPreparing waybills to send package or documents by Fedex or West Island Express

Order office supplies, maintain stationary room, janitorial supplies, coffee supplies, milk

Review and approve related invoices: Fedex, Couriers, Denis, Milk, etc.

Prepare Ministerial Exemption forms

Scanning original docs for LATAM and exports as received and send to team

Empty dishwasher in the morning, run dishwasher in the evening

Empty/wipe down coffee machines daily

Maintain sample room freezer inventory

Help organize office event and meeting catering, as required

Take care of weekly Fruit program ordering, setup

Work related admin responsibilities for Management, ie. Tracking, filing, organize, prepare, etc.

Building maintenance issues (coordinating service providers when needed)

Interior plant watering

Christmas decorations coordination

Creative resource for Marketing, as required

Filing for accounting as requiredQualifications
Fluent in English (written/spoken), professional in French (spoken), ability to communicate wellGood computer skills and comfortable with Microsoft officeStrong organizational skills and attention to detailIndependent workerKnowledge of SAPB1 ERP system an assetSummary
