Job Description:What You'll DoThe Event Manager role is remote-based. The successful candidate will utilize their live and virtual event management and communications expertise and exceptional project management and collaboration skills to plan and execute both live and virtual events and ensure all stakeholders are working together to deliver high-quality events that map to business priorities, objectives and goals. The successful candidate will will have a deep understanding of event GTM, acquisiton, marketing and communications, proven success, solid project management skills, strong attention to detail, excellent written communication and problem-solving skills, and the ability to learn unaided.In this role, the event manager will work closely with business stakeholders and peers to understand, coordinate, and project manage deliverables, timelines, and milestones associated including but not limited to creating workback schedules, managing workflow and approvals, and providing analytics, reporting and feedback.
Job DutiesPRIMARY RESPONSIBILITES
  • Speaker Management – Includes supporting “Call for Speakers” recruitment for both internal and external audiences, managing communications from invite-to-thank you, processing duly-signed speaker contracts through Avalara legal to speakers, sending full speaker package and all follow-up with speakers; arranging pre-pre- calls for every contracted speaker to include stakeholders for dry-run conversations as needed; facilitating payments and/or honorariums per the contract; administering T&E reimbursements through Accounts Payable aligned with Contract terms and conditions; tracking status of all speakers and specific audio-visual and related speaker needs raised, communicating room-set needs desired; securing headshots and biography assets of all speakers and confirming hand-off contact on-site so as to provide a professional and completely seamless experience for the Avalara event speaker.
  • Manage Content Ticketing Process – There are three layers of ticketing required for all event contact: Legal, Editorial and Design. This role will assume the management of all ticketing, tracking, auditing and reconciliation from start to finish for all areas of content from main stage keynotes, to breakouts, to roundtable sessions to aligned activations. Once content scope is ideated from the Content Leader and stakeholders and in a state to move forward, this role will initiate the ticketing process and carry through to completion, including outreach to content owners to edit and refine per legal, editorial or design spec. This process is required for all published content to be delivered at events including but not limited to PowerPoint, Handouts, Scripts, etc.
  • Event Technology Stack Management. Capture needs from event team members to understand complete scope of work for vendors to provide quote and deliver tech stack needed for the events including but not limited to Registration, Housing, Speaker Management, Call for Speakers, CPE Automation, Appointment Scheduler and Mobile App. This role will oversee scope of work development and execution from concept to completion to coincide with event milestones as determined by the Event Team leadership in support of corporate events.
  • Streaming Technology Management, Administration and Oversight: Work with vendors to establish streaming technology for sessions that are earmarked for such and arrange and coordinate to local Avalara offices (for internal viewers) or website access (for external viewers) the set-up, test, and orchestration of spaces – whether physical or otherwise – for consumption of digital content.
  • CPE Management, Accreditation and Distribution – Work internally with accreditation teams to determine sessions eligible for CPEs. Coordinate accreditation of courses to sign-off and then with internal education leaders to submit CPEs for approval by the correct validation source externally to ensure we are in compliance with all governance.
  • FOR INDIA BASED CANDIDATES ONLY – Ability to support local event needs to secure site options, venues, hotel blocks, and support local-needs to oversee meeting room management, AV Production and logistics as needed.
  • FOR INDIA BASED CANDIDATES ONLY – Ability to work US-based hours, English speaking.
SECONDARY RESPONSIBILITES
  • Assist with budgeting process, reporting and data analysis – Know and own the event KPIs and data to prepare reports and make recommendations. Assist in setting up tools and workspaces for reporting and budgeting.
  • General department support– Assist the team in go-to-market (GTM) campaigns in our drive to deliver on audience acquisition goals.
  • Contributing to the full events strategy where necessary in delivery of the overall strategy
  • Apply processes to ensure a OneAvalara approach across global events.
  • Manage and track allocated event budgets against execution of programs.
  • Oversee and facilitate internal event communications and cadence with internal event team members, agency and colleagues.
What You'll Need to be SuccessfulBASIC QUALIFICATIONS
  • Ability to work independently but cohesively with teammates to deliver on executive-approved strategies of execution.
  • Strong PowerPoint skills and ability to create presentations and strategic pitch decks.
  • Strong oral presentation skills and ability and confidence to present to business leaders and other teams across the organization
  • Demonstrated experience working with cross-functional teams in the planning and execution of large scale events
  • Ability to manage multiple priorities to execute high quality deliverables and finding creative ways to do more with less while staying on budget
  • Confident, self-motivated individual with strong, demonstrable bias for action and curiosity to learn and “figure things out”
  • 10+ years’ experience in event marketing and hospitality management
  • Experienced in working in an international/ multi-cultural environment
  • Ability to inspire confidence and trust in interactions with other functions and Business Unit leaders.
  • Experienced in overseeing budgets and resources.
  • Ability to develop strategic plans and implement.
  • Strong analytical skills.
  • Be able to think beyond area of control/domain to do what is right for the broader Avalara organization.
  • BS/BA in Hospitality Management, Marketing, or related field
  • Strong knowledge/experience of Microsoft Office applications
  • Strong working knowledge and experience of Microsoft Office, Netsuite, Slack, Allocadia, Google Drive, OneDrive, CVent, Workday, and various operating systems utilized by Avalara.
About the TeamThe Corporate Events team is comprised of a Director and 2 Senior Event Managers along with a team of contractors.We are accountable and responsible for producing RevKO, our annual revenue organization gathering of about 1000 employees as well as Avalara CRUSH, a bi-annual customer-centric event, and Avalara FUSE, a bi-annual partner event.
