- Reporting to the vice president, transformation and lean, powersports & marine, the administrative assistant's main role will be to provide excellent administrative support to the VP and director, global business planning.
- Proactively manage the calendar of the VP, taking charge of daily and ongoing planning to ensure the effective use of their time, including protecting time for key meetings, document preparation and forward thinking.
- Provide assistance to support decision-making while handling various requirements related to planning, travel, presentations, etc.
- Participate in the preparation and monitoring of annual budgets and follow-up with relevant departments and document required justifications.
- Write, edit, and format a variety of reports, communications, documents, tables and internal and external correspondence for the VP, director, and their teams.
- Organize business trips and prepare expense reports.
- Administer and process a variety of confidential documents and information.
- Ensure that important information is sent to the correct persons (employees, the manager, directors).
- Assist with onboarding new employees such as by ordering equipment and requesting the necessary access rights.
- Provide support for various confidential projects as needed.
- Prepare, in collaboration with the OCM coordinator, a monthly newsletter to communicate updates and highlights of the current projects.
- Occasionally support the OCM coordinator preparing and sending out comms, surveys and other related tasks as needed.
- Prepare and carry out different purchase requisitions.
- Receive and process various invoices for associations.
- Prepare monthly reports to present actuals per association and monitor amounts left in purchase orders.
- A technical college diploma (DEC) in secretarial studies or any other relevant training.
- Three to five years of relevant experience.
- Extensive knowledge of Word, Excel, PowerPoint (Windows), Google Suite, and SAP.
- Strong proficiency in English and French, both oral and written.
- Organizational skills and autonomy are essential, as well as team spirit, resourcefulness, and the ability to work under pressure.
- Good decision-making skills and a good sense of judgment.
