One of our clients in Printing and Consulting industry is looking for a Mailroom/Record Management Associate
Length: Contract term is 12 months with a possibility of extension
Location: Toronto, ON
Hours: Monday -Friday 9am-6pm and maybe SaturdayESSENTIAL FUNCTIONS:Incoming Policy Mail
  • Open, sort, stamp all incoming hard copy Policy mail
  • Scan & review for quality issues
  • Attach documents to correct client in Broker Management system using specific coding
  • Assign task based on mail to appropriate team as required
  • Distribute non-policy mail/courier pieces internally
Email box
  • Review contents of requests
  • Attach documents/email to the correct client in Broker Management system using specific coding
  • Assign task based on mail to appropriate team as required
  • Distribute non-policy emails internally
Outgoing Mail/Courier
  • Prepare daily mail bag for outgoing Canada Post Corporation (CPC) mail
  • Prepare daily mail bag for outgoing ICS courier pieces, using online software
  • Prepare daily outgoing couriers (Purolator) using online software
  • Prepare daily outgoing Registered Mail letters
Office Support
  • Greet and sign in guests/vendors; maintain visitor log
  • Coordinate and administer visitor badges/cards, ensuring up to date inventory and manage sign-in/sign out procedures
  • Schedule conference rooms as necessary
  • Maintain a neat and tidy, professional Reception area
  • Maintain Reception handbook/guidelines
SKILLS:
  • Good communication and customer service skills, both written and verbal.
  • Self-motivated.
  • Able to read, write and follow English instructions.
  • Intermediate computer skills, including MS Office.
  • Ability to manage multiple tasks and perform duties with minimal supervision. EXPERIENCE:
  • 6 months to 1 year experience in a professional working environment.
  • Experience in a client-facing environment. DOCK: (remove if NA)
  • Previous dock experience.
  • Experience with lift truck and material handling equipment.
