- Calendar Management: Manage the CEO's calendar efficiently, scheduling and coordinating meetings, appointments, and travel arrangements.
- Communication: Serve as the primary point of contact for internal and external communications on behalf of the CEO, including screening and prioritizing emails, phone calls, and other correspondence.
- Meeting Preparation: Prepare agendas, presentations, and briefing materials for meetings, ensuring the CEO is well-prepared and informed.
- Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, transportation, and visas, while optimizing for efficiency and cost-effectiveness.
- Administrative Support: Provide administrative assistance such as expense management, document preparation, filing, and maintaining organizational systems.
- Relationship Management: Build and maintain relationships with key stakeholders, including executives, clients, partners, and investors, on behalf of the CEO.
- Project Assistance: Assist the CEO in managing various projects and initiatives, including research, data analysis, and project coordination.
- Board Paper Management: Prepare and distribute materials for board meetings, ensuring timely and accurate delivery of information to board members.
- Personal Assistance: Provide personal assistance to the CEO as needed, including managing personal appointments, errands, and other tasks.
- Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives.
- Minimum of 8 years of relevant experience in an executive support role.
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
- Strong communication and interpersonal skills, enabling professional interaction with a wide range of stakeholders.
- Bachelor's degree in a relevant field; a postgraduate degree and/or record of academic achievement is also desirable.
- High degree of professionalism, integrity, and discretion in handling confidential information.
- Flexibility to adapt to changing priorities and the ability to work outside regular business hours when necessary.
- Robust problem-solving skills with a proactive approach to resolving issues and managing tasks.
