We do the rest.ABOUT THE ROLE:We are seeking a detail-oriented and organized Administrative Assistant to join our investment management team. The ideal candidate will be tech-savvy, a problem-solver, and able to efficiently communicate with vendors, investors, and fund managers. You will play a crucial role in maintaining processes, handling data entry tasks, and ensuring smooth communication and record maintenance within the organization.RESPONSIBILITIES:
- Assist with vendor, investor, and fund manager communications.
- Ensure accurate categorization of transactions in software or trackers.
- Organize and save property documents and pictures in Dropbox.
- Upload documents and maintain investor and fund manager information on the investor portal.
- Send documents/contracts and input data into Google Sheets based on responses.
- Address discrepancies in billing and other concerns through effective communication.
- Aid in record maintenance, including categorizing expenses and ensuring compliance.
- Collaborate with the bookkeeper to resolve transaction-related queries.
- Maintain up-to-date information on property pages within the investor portal.
- Assist in finalizing investor and fund manager information for distributions.
- Conduct regular checks to ensure the accuracy of investment stages in trackers.
- Handle communication with government agencies and other entities for record-keeping purposes.
- Manage payments for taxes, fees, citations, etc., on behalf of the company.
- Proficient in data entry with strong attention to detail.
- Efficient communication skills to interact with vendors, investors, and fund managers.
- Ability to create and maintain processes to streamline operations.
- Tech-savvy and adept at problem-solving.
- Highly organized with the ability to prioritize tasks effectively.
- Takes initiative and is self-motivated to drive tasks to completion.
- Capable of handling multiple tasks simultaneously.
- Extremely responsive to inquiries and requests.
- Background in accounting.
- Familiarity with QuickBooks.
- Intermediate-level knowledge of Google Sheets.
