- Welcoming guests, clients, and visitors with a friendly and professional demeanor, directing them to the appropriate person or department, and providing any necessary assistance or information.
- Managing incoming calls, taking messages accurately, and ensuring timely follow-up as needed.
- Handling incoming and outgoing mail, emails, and faxes, distributing them to the relevant recipients, and ensuring prompt responses when required.
- Managing appointment schedules, coordinating meetings, conferences, and appointments, and maintaining organized calendars for executives or team members.
- Providing administrative support such as typing, formatting documents, preparing reports, maintaining files and records, and assisting with data entry tasks as needed.
- Ensuring the reception area is clean, tidy, and presentable at all times, including organizing reading materials, refreshing refreshments, and monitoring office supplies inventory.
- Responding to inquiries from clients, visitors, and employees promptly and courteously, providing information about the organization, its services, and directing inquiries to the appropriate resources.
- Monitoring access to the premises, issuing visitor badges, ensuring compliance with security procedures, and notifying appropriate personnel of any security concerns or emergencies.
- Providing basic technical support such as troubleshooting office equipment, assisting with conference room setup, and liaising with IT support for more complex issues.Handling sensitive information with discretion and maintaining confidentiality in all interactions and tasks, adhering to privacy policies and procedures.
- Collaborating with colleagues and other departments to ensure smooth operations, assisting with special projects or events, and contributing to a positive and productive work environment.
- Certification in Office Management or related field is preferred.
- Proven work experience as a Receptionist, Secretary, or similar role will be considered as an advantage.
- Excellent communication skills, both verbal and written in English and Greek (knowledge of additional languages is an advantage).
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
