- Receive incoming calls and ensure full information is recorded and forwarded to the relevant department.
- Monitor meeting rooms, pantry according to regulations and report to the manager if there is any abnormal situation.
- Receive guests and record the information and forward it to the relevant department.
- Manage incoming and outgoing correspondence and parcels.
- Collect invoices & supporting documents according to internal process (payment to suppliers) and make payment to suppliers for expenses.
- Arrange/make forms according to regulations of the Building Management Board related to property/goods movement, repair construction, event organization...
- Monitor/supervise the work of Tea ladies, especially the situation of general pantries and refrigerator cleaning.
- Monitor pantries /relaxation room according to regulations and report to manager if there is any abnormal situation.
- Receive & check goods, and utensils for general pantries.
- Compare data, spreadsheets of electricity, water consumption indicators, parking costs from the Building Management Board.
- Assist to arrange//deploy periodical cleaning/maintenance for all offices: general office cleaning, CFU/aircon maintenance/cleaning, maintenance/cleaning for drinking-water machines’ filters system.
- Make new orders as requested (furniture & office facilities).
- Assist in arranging for fixing/repair when the facilities have problems.
- Other tasks as requested by the Line Manager.
- Fluent in speaking and writing skills in English is a plus.
- Good communication and interpersonal skills.
- Good at both working as a team member and working independently.
- Proactive, helpful, and friendly personality.
