- Proven experience as an Executive Assistant, office assistant or relevant role
- Outstanding communication and interpersonal abilities
- Excellent organizational and leadership skills
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office and office management software
- Qualifications in secretarial studies will be an advantage
- Organizing the President's calendar, scheduling meetings, appointments and making travel arrangements. This will involve coordinating with other employees and external contacts.
- Drafting emails, memos, reports and other documents.
- Organize and prepare for meetings, including compiling agendas, gathering documents and coordinating logistics of meetings, such as booking conference rooms and arranging catering. Attend meetings for minute taking; following up on action items.
- Providing general administrative duties, such as filing, data entry, maintaining records, managing credit card expenses and receipts
- Build and maintain relationships with external stakeholders, including customers, clients and members of the community
- Represent the Company with professionalism in all interactions, both internal and external
- Assist Marketing with arranging office spaces, and ensuring seamless coordination with IT
- Strong written and verbal communication skills
- High confidentiality of sensitive information
- Organizational and experienced problem-solving skills; finding solutions independently or escalating them to the appropriate person
- Flexibility
- Strong interpersonal skills to interact positively will all customers and employees
- Attention to detail
- Proficiency in QuickBooks and Microsoft Office
- Strong attention to detail and ability to multitask
- Experience with fuel inventories and reconciliation
- Associates or Bachelor's degree in Business Admin
